Job Description
We are looking for an organized Inventory Administrator to support our daily operations. In this role, you will handle administrative tasks related to stock, including issuing purchase orders, processing stock transfers in our system, and coordinating with suppliers.
No prior ERP experience is required—we will provide full training on our in-house system. Ideally, you are detail-oriented, good with numbers, and eager to learn.
Key Responsibilities
1. ERP System Data Entry & Billing
- Learn and operate the company’s in-house ERP system to record all stock movements (training provided).
- Process billing and Delivery Orders (DO) for stock sent to Outlets and Kiosks.
- Ensure all data entered into the system matches the physical paperwork.
2. Purchasing Support (Vendor Management)
- Create and issue Purchase Orders (PO) to suppliers based on lists provided by management.
- Send POs to vendors and follow up via email/phone to confirm delivery dates.
- Maintain an updated database of vendor contacts and filing of purchasing documents.
3. Stock Receiving & Returns Admin
- Verify delivery documents against Purchase Orders when stock arrives to ensure quantities match.
- Coordinate the administrative process for returning damaged or incorrect goods to suppliers.
- Update the system to reflect goods received or returned.
4. Stock Monitoring & Reporting
- Assist in monitoring stock levels for outlets and alert the manager when items run low.
- Compile weekly stock reports from the system for management review.
- Assist in physical stock-takes (counting stock) to validate system records.
Job Requirements
- Education: SPM, Diploma, or fresh graduate in Business, Administration, or any related field.
- Experience: 0–2 years of working experience. Fresh graduates are encouraged to apply.
- Technical Skills:
- Computer literate (familiar with Microsoft Word and Excel).
- Willingness to learn new software/systems.
- Key Attributes:
- Detail-Oriented: Careful with data entry to avoid billing or stock errors.
- Communication: Able to communicate clearly with suppliers and outlet staff.
- Organized: Good at filing documents and tracking orders.
